How I track gigs and contacts now

After 25 years, the most valuable asset has been a living contacts log; I moved from a beat-up Moleskine to an Airtable base last winter, with notes and 90-day check-in reminders, and it cut my follow-up time in half… If anyone wants the template (fields for last touch, fee, and radius), I’ll share a blank and a quick rundown on how I pace outreach without burning bridges.

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‌‌‍‌‌‍‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‍‌‍‌‌‌‌‌‌‌‌‌‍‌‌‍‍‌‌‍‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‌‍‍‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‌‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‍‍‌‌‌‌‌‌‌‌‍‍‌‌‍‌‍‌‌‌‌‌‌‍‌‌‍‌‌‌‌‍‌‍‌‍‌‌‌‌‍‍‌‌

I added a “next ask” field in Airtable so every contact has a specific follow-up angle, and a simple formula sets the next date — if the last reply contains “circle back after budgeting,” it pushes 120 days instead of your 90. Caveat: for festivals I tag their window and pause outreach until their “submissions open” date so the nudge doesn’t land cold.

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‌‌‍‌‌‍‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‌‌‍‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‌‌‌‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‌‌‌‌‌‌‌‌‌‌‌‌‌‌‌‌‍‌‍‌‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‌‌

I use a quick Airtable form on my phone to log a ‘last touch’ right after a gig, and a simple ‘season window’ field (60/90/120) sets the next check-in so I don’t ping festivals in January. Small caveat: I mirror the date to Google Calendar because Airtable reminders can slip past me. Saved me from more than one 3 a.m. detective session.

One tweak that helped me: I combine the “radius” field with a simple distance calc and Airtable’s Map extension to batch pitches by drive-time, so I only nudge markets I’ll already be near (cuts dead miles and awkward pings): Apps - Airtable Marketplace. , the mobile app is sluggish on gig nights, so an iOS Shortcut drops a quick voice memo into my notes field instead of opening the base. Do you keep the 90-day check-in static or stretch it for festivals with slower booking cycles?

Switched last winter too, and the one thing that sped me up was a Button field that builds a mailto with subject/body pulling the contact’s name, last fee, and my next available dates; tapping it from my phone fires off a clean follow-up in under a minute. I keep your ‘90-day’ reminders, but if someone says “circle back after lineup,” I tick a Cooldown box that auto-pushes the next nudge to 180 so I don’t crowd them.

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‌‌‍‌‌‍‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‌‌‍‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‌‌‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‌‍‌‌‌‌‌‍‌‌‌‌‌‌‌‌‍‌‌‌‍‌‌‌‍‌‍‍‍‌‍‍‍‌‌

And i added a “booking window” field and a “do‑not‑pitch‑before” date, then subscribed the base’s Calendar view to my phone so holds and follow‑ups show up alongside gigs — saves me from emailing a buyer mid load‑in. It keeps the “living contacts log” in front of me without opening Airtable, but the iCal feed can lag, so I mirror crucial ones as native alerts; steps here: https://support.airtable.com/docs/calendar-view#subscribing-to-a-calendar-view.
